Certificate of Insurance (COI) Specialist

Region: małopolskie

Purpose

This position will work with vendors, insurance companies, and third party service providers to identify unresolved supplier insurance deficiencies and resolve them by contacting the vendor to alter coverage or explain requirements, or an authorized exception process.
The COI Specialist will be primarily responsible for addressing issues of non-compliance with the vendor base. They will correspond with EBIX to determine non compliant / problematic vendors and determine the appropriate path forward.

Key Accountabilities

  • Direct supplier contact to identify the cause of non-compliance and retrieve necessary compliance documentation
  • Explain different insurance requirements to vendors, IP facilities and insurance providers
  • Monitor Ebix for deficiencies, referrals, cancellations, expiring certificates
  • Communicating changes in vendor insurance requirements to suppliers as necessary
  • Serve as a liaison between legal, risk management and vendor while satisfying insurance exceptions
  • Document reasons for non-compliance and completing all necessary documentation to allow a defined facility manager “yes / no” approval capability
  • Support and execute all administration activities associated with your account base, ensuring timely updates and accuracy of our system (contact, status reports, exceptions etc.)
  • Improve record keeping practices by identifying and eliminating duplicate records
  • Prepare facilities for annual outages by ensuring all identified vendors are compliant
  • Work with facilities to understand waivers and vendor reluctance to insurance requirements
  • Review contracts and compare against IP insurance requirements and update facilities on resolution
  • Work with Corporate to ensure all new vendors are set up in Ebix with appropriate risk profiles
  • Actively identify opportunities to simplify our processes to allow for improvement in compliance and less administrative duties for facilities
  • Research and access COI’s to assist the Legal and Risk Management departments as necessary

Skills and Experience Requirements

  • University degree in Business or related field
  • Excellent command of English
  • Strong interpersonal skills to communicate and collaborate with all levels of our organization and external parties (vendors, insurance companies, IP Management)
  • Experience with SAP would be an asset
  • Good team working skills
  • Strong administrative skills are required
  • Working hours overlap with US time zone (until 8:00 PM)

This role is an ideal position to gain knowledge of Global Sourcing process and managing supplier risk in North America. During daily duties, COI specialist will learn how to manage multiple stakeholders (Insurance Agents, Facility Managers, Suppliers/Vendors, Legal, and Risk Management) with various priorities, demands and requests.
 
The role should interest a highly motivated individual with a strong desire to continually learn new policies, adapt to evolving processes and dealing with ambiguity.
